Move your seeding programme off spreadsheets

Most seeding programmes start in a spreadsheet: a list of recipients, a courier portal for labels and a form for feedback. This guide shows how to move each piece into one Portifer campaign.

1. Export from your current setup

  • Clean the sheet: one row per recipient, with name, email, phone and full address in separate columns.
  • Save the sheet as CSV or .xlsx (first sheet is used).
  • Keep past responses in your archive; Portifer starts tracking from the first campaign you run in it.

2. Set up Portifer

  • Export your recipient or contact list from the current tool as CSV or Excel.
  • Import it in Portifer under Dashboard → Data. Portifer suggests a column mapping; check it and confirm.
  • Add your products to the catalogue and rebuild the box in the box builder, with variants and inserts.
  • Connect your carrier accounts under Settings → Carriers, or agree managed fulfilment with us.
  • Recreate your survey questions and feedback tasks in the campaign, then send a small test cohort before the full send.

4. Before your full send

  • Import a few rows first and check the suggested column mapping before you import the whole file.
  • Send a test cohort of a handful of recipients and check address confirmation, the QR code and the feedback page yourself.
  • Print one label from each carrier account you connected and check it before packing the full batch.
  • Send the full batch once the test cohort has gone through end to end.

5. Keep in mind

  • Recipient imports are limited to 1,000 rows per file and company imports to 10 MB; split larger files.
  • Old .xls files are not supported for company import; save as .xlsx or CSV.

Frequently asked questions

Do I need to re-enter addresses?

No. Import them from your sheet. Recipients can also confirm or correct their address on their branded page before you ship.
