Where to set it up

Dashboard → Settings → Integrations. Paste a HubSpot private app token; Portifer checks it against HubSpot and stores it encrypted.

What the HubSpot integration does

  • Imports all companies from your HubSpot portal with name, domain, industry, size and address.
  • Imports the contacts associated with each company with name, email, phone, job title and department.
  • Merges imported companies with ones you already have, and de-duplicates contacts by email address.
  • Logs a note on the linked HubSpot deal when a package is sent, is delivered, has its QR code scanned, receives feedback, leads to a booked meeting, or the deal is won.

How to connect HubSpot

  • In HubSpot, create a private app with read access to companies and contacts, and write access to notes and deals.
  • In Portifer, go to Dashboard → Settings → Integrations and paste the private app token.
  • Run an import from the import panel. Imports are started manually, so you decide when your Portifer lists refresh.
  • Link packages to a HubSpot deal ID to get activity notes on that deal.

Limits to know about

  • Imports run when you start them; there is no scheduled or continuous two-way sync.
  • Activity notes are only written for packages that carry a HubSpot deal ID.
  • Connection uses a private app token rather than an OAuth app install.
  • Deal-stage triggers that create packages automatically, and the in-HubSpot card, are set up together with our team.
